Case Study - Med Spa 5 Locations, 2 Mindbody Online Accounts, 1 Keap App!

Client presented a challenge with 5 Spas, 1 Keap Infusionsoft account, 2 Mindbody accounts, 1 website.

We needed 2 Mindbody accounts because each account will only work with one timezone and we had 2 spas in the Pacific time zone and 3 spas in the Central Timezone and we needed all information to go into one Keap account and keep all information location specific for each spa.  This was important so we could market to each spa individually with special sales, events and location specific messages.

I knew immediately that we would need to utilize a custom API connection to make the systems work together. I contacted Mindbody and had a long conversation with their team about the capabilities of their API. I then called one of my developer contacts who I was confident they would be able deliver a solution to create the complex system that we needed.

Since he had already built a system that would connect one Mindbody application to one Keap application he was able to modify the program and create a solution. Paring this with some complex Campaign Builder and Action set skills we had a system that worked.

When a prospect visited the website, and filled out a form, the contact record would go into Keap and based upon their location choice on the form would be tagged and routed into a campaign that would send an API connection to the correct Mindbody application. From there the contact would be tagged with the specific service and sent an email with service information from their local spa and the local spa director would receive contact information about their new prospect. The notification about the new prospect would also be sent to the Marketing Director and the Company Owner.

Using this system, we could quickly create location specific events and flash sales and route contacts into the correct campaigns and keep all of our prospects well cared for and in view of our patient care team.

For our spa events, I took this system a step further by using Zapier to send the registration information to a Google spreadsheet that was shared only by the staff at the specific spa and corporate. With this information, we were able to track registration and attendance at the events and staff would have the phone and email information right at their fingertips.

Using the bridge between Mindbody Online and Keap we began tracking all purchases inside Infusionsoft as well as Mindbody Online. This created a perfect opportunity to create a unique marketing strategy to create recurring purchases of the same service. We used this information to introduce new services that the patient had not tried to generate more business.

 

In the end we have a very happy client and business is booming!

Keap is an amazing marketing tool.

The possibilities are endless but if you don’t know how to use it the potential is just bubbling beneath the surface.
